Balloon One automates POD for Classic Fine Foods

Classic Fine Foods has automated proof of delivery (POD) using an innovative PDA system from Balloon One. Using Springboard Mobile, the premium foods company is streamlining administration, cutting between two and three hours of labour a day, while improving customer service.

The mobile software augments Classic’s SAP Business One enterprise resource planning (ERP) system by capturing POD at the point of delivery and transmitting it back via a synchronisation server to the office.

“This is a very good solution for streamlining administration and customer service, through the simple process of automatic data capture for POD. It is relatively low cost and is very good enhancement to our ERP system, which is paying for itself because it saves us so much time,” says Sonia Mace, Operations Manager for Classic Fine Foods.

The new app replaces the company’s original method of producing multiple delivery notes/invoices for each order from the ERP system; the customer would keep one and sign another copy, which the driver would bring back to base as POD for filing. The PODs took several hours a day to manage, and this was also a bottleneck in responding efficiently to customers’ enquiries, as someone would need to retrieve the documents from the archives.

“We are a growing company and with this success we are producing hundreds of invoices a day, which impacts our workload. We were taking two to three hours a day to manage the paperwork manually. What we needed was the ability to simply call up a customer order record on screen and see its status; we are very happy to report that Springboard Mobile is enabling this for us. It is not only saving us time and labour, it’s also improving customer service,” says Sonia Mace.

The company supplies a wide range of ambient, chilled and frozen premium quality products to London’s leading restaurants and hotels. Each day, the company’s fleet of dual-compartment 4.5-tonne delivery vans deliver hundreds of orders throughout the capital. Each driver has a Motorola ES400 PDA running Springboard Mobile for scanning the actual delivery note/invoice handed to the customer with the order. The person receiving the goods then signs the PDA screen and the driver enters their name onto the device, which is time-stamped automatically. The PDA then sends the data back to the office.
